The University of Exeter Students’ Guild required an upgrade to their boardroom to create a collaboration space built for performance and inclusivity.

GVAV were appointed to design and deliver a fully integrated audiovisual system that would meet the demands of professional hybrid meetings while ensuring the room was genuinely accessible and inclusive from day one. GVAV worked closely with the client to deliver a new, flexible solution that would ensure the space met the needs of the room’s users.

The room’s system is built around a Yealink MVC S40 Microsoft Teams Room solution, meaning participants can walk in and start a meeting within seconds.

Mounted underneath the main display, the SmartVision 40 video bar handles both audio and video capture within the room. Its dual 48MP cameras deliver 4K image quality with a 120-degree field of view, while AI features like IntelliFocus provide dynamic close-ups of active speakers for natural, in-person hybrid conversation.

An intelligent centre-of-table camera offers 4K resolution and a 322-degree field of view as an additional camera to the video bar. Positioned at eye level, the Yealink MTOWER tracks and frames participants automatically, capturing faces straight-on rather than from above – a natural perspective that makes lip patterns far clearer for those who rely on lipreading. Dynamic switching between the room's two cameras ensures comprehensive coverage regardless of room configuration or seating arrangement, keeping every participant visible and conversations fully immersive.

The MTouch Plus is an 11.6” touch panel that serves as the meeting room control centre, presenting the familiar Teams interface for one-touch call management. The MTR system runs on a MCore 4 mini-PC, which provides a reliable deployment solution and requires only a single CAT5e cable to connect the display area to the conference table, handling both data and power supply without additional cabling.

Suspended from the ceiling, a Yealink CM50 wide-range microphone provides clear, even pick-up coverage across the table, while dual CS10-D ceiling speakers deliver unobtrusive audio distribution throughout the space.

An AP08 DSP is mounted neatly behind the display, managing the room’s audio system to ensure consistent, natural sound quality whether the room is hosting two people or a full committee.

At the front of the room, three 4K Sony BRAVIA displays comprising a 65” and two 50” screens ensure presentations and video calls are visible throughout the room. A Blustream HDMI splitter handles content distribution across the displays, allowing a single source to be sent to multiple screens simultaneously.

In order to deliver the same quality meeting experience to every participant, accessibility and inclusion were key considerations for this space, such as height adjustable tables. The Guild’s commitment to genuinely inclusive spaces was also taken into account in the room’s AV design. A Williams AV IR T1 infrared transmitter is mounted in the corner of the front wall to provide assisted listening support for users with hearing aids or cochlear implants for clear, interference-free audio feed independent of the room's main speaker system.

As a result of this upgrade, Exeter Students’ Guild has a fully hybrid, inclusive space capable of supporting everything from small working groups to high level board style meetings. Delivered by GVAV, this hybrid system is facilitated by a comprehensive AV solution centred around the Yealink ecosystem that remains easy to use with a consistent, familiar Teams experience for minimal user training.
